Terms and Conditions of Participation

By registering a team or participating as a player in the PickleX Cup, you agree to be bound by the following Terms and Conditions. Please read them carefully.

1. Team Registration & Eligibility

  • Registration: A team is only considered "Confirmed" once the full registration fee has been paid and the Team Captain has submitted a complete roster.
  • Accuracy: The Team Captain must ensure all player names and skill ratings (DUPR) are accurate. Providing false information to enter a lower-skill bracket ("sandbagging") will result in immediate team disqualification without a refund.
  • 2. Role of the Team Captain

    The Team Captain is the designated leader and primary point of legal and operational contact for the team. Their responsibilities include:

  • Administrative Duties: Registering the team and ensuring all players sign the mandatory PickleX Cup liability waiver before the first match.
  • Communication: Serving as the sole contact point between the team and PickleX Cup officials.
  • Lineup Management: Deciding and submitting the team lineup for each match.
  • Compliance Oversight: Ensuring all players meet tournament requirements, including:
  • Attire: Proper athletic footwear (non-marking court shoes) and sports apparel.
  • Equipment: Ensuring all paddles used are on the current USAPA Approved Paddle List.
  • Punctuality: Ensuring the team is present and "ready to play" at the assigned court at the scheduled time.
  • Disputes: Acting as the only authorised person to discuss challenges or disputes with the officiating team.
  • Prize Disbursement: In the event of a win, the PickleX Cup will disburse the prize pool directly to the Captain. The Captain is solely responsible for the further distribution of funds among team members.
  • 3. Rules of Play

  • In Tournament Format: All matches will follow the official USA Pickleball (USAPA) Rulebook unless specific "PickleX Cup House Rules" are announced during the pre-tournament briefing.
  • Forfeits: A 10-minute grace period is allowed. If a team is not ready to play after 10 minutes, the Match is awarded to the opponent as a forfeit.
  • 4. Waiver and Liability

  • Assumption of Risk: Pickleball is a physical activity. Participants acknowledge the risk of injury (e.g., strains, falls, or cardiac events) and participate voluntarily.
  • Release of Liability: To the maximum extent permitted by law, the participant releases PickleX Cup, its organizers, sponsors, and venue owners from any claims for personal injury, property damage, or wrongful death.
  • Medical Consent: Participants authorise officials to seek emergency medical treatment in the event of an injury during the event.
  • 5. Code of Conduct

  • Sportsmanship: We maintain a zero-tolerance policy for verbal abuse, profanity, or physical threats directed at opponents, officials, or spectators.
  • Disciplinary Action: The Tournament Director reserves the right to expel any player or team from the event for unsportsmanlike conduct without a refund.
  • 6. Media and Likeness

  • Photography/Videography: By entering the venue, players and captains consent to being photographed or filmed. PickleX Cup reserves the right to use this media for promotional, social media, and broadcast purposes without compensation to the participants.
  • 7. Cancellations and Refunds

  • Refund Policy: Full refunds are available if requested 30 days prior to the event. Within 30 days, refunds are only issued if a replacement team is found.
  • Force Majeure: If the event is cancelled due to weather, facility failure, or other "Acts of God," PickleX Cup will attempt to reschedule. If rescheduling is impossible, a partial credit or refund may be issued at the organisers' discretion.
